How do QR codes work?

How to use the QR codes provided in BlueTally's software and how to enable them

BlueTally offers system-generated QR codes that you can apply to a variety of your trackable equipment. These codes can be scanned by any conventional camera app found on a smartphone or tablet, so no proprietary hardware is required.

Scanning the QR code on your mobile device will navigate you to the Show page of the item in question, allowing you to see your BlueTally data when you're on the go.

Our QR codes are available for Assets, Accessories, Consumables, and Components. Continue reading below to learn how to use them for each.

QR Codes for Assets

QR codes are automatically generated for each Asset, so they will always be available. Any time you create a new Asset entry in your BlueTally account, the QR code will be generated and available.

To see the QR code for an individual Asset, simply click the Print button while you are on a device's Show Asset page:

A new tab will open in your browser where you can see a preview of a full visible asset tag, containing the QR code for the Asset in question.

QR Codes for Accessories, Consumables, and Components

Unlike Assets, QR codes for Accessories, Consumables, and Components are not immediately available, but they can be easily enabled on each respective item's Edit page.

While on the Accessory's Show page, click the blue "Edit" button.

While on the Edit page, scroll down to view the Enable QR Code toggle option. Click the toggle so that the button appears to the right and blue negative space is visible in the toggle.

Consumables:

While on the Consumable's Show page, click the blue "Edit" button.

Customizing Your Labels

Naturally, you'll need a way to apply these QR codes to your equipment, so we offer a few ways for you to print labels that can be used. You can find Knowledge Base guides on each of our Printer Integrations below:

The articles provided above will allow you to ensure your printer is configured correctly. The Printer Configuration section of your account settings will also provide you with a few ways for you to customize what appears on your QR code label as well.

What can be customized:

  • The text that appears next to the QR code on the label

  • The color of the QR code

What can NOT be customized:

  • The size of the QR code

  • The data contained within the QR code

  • The design of the QR code

Using Printer Configuration

To access Printer Configuration, first navigate to your account settings by clicking on the Settings tab in the dropdown menu under the profile icon in the upper right-hand corner of your screen.

You can then either scroll down to the Printer Configuration section, or you can click "Printer Configuration" in the column on the left-hand side of the screen.

Once you've accessed your Printer Configuration section, you'll see the options you have available for customization!

As discussed above, you can change the color of the QR code.

You can customize what lines of text you would like to appear on your label. In addition to the text itself, you can choose the font size, font color, and whether you would like the text to be bold or regular. Below, you will see the option for Assets.

There is also a separate option for customizing the display text for Accessory, Component, and Consumable Labels. The same options for font size, font color, and bold type or regular type are all available for these labels as well.

Once you've finished making the adjustments you need for your label text, click the blue Save button at the bottom of the section.

You'll know your changes were applied successfully when you are redirected to the top of the Settings page again, where you will see the confirmation message in the green box.

Frequently Asked Questions

What prevents someone else from seeing our equipment data when they scan the QR code?

When anyone initially scans one of our QR codes, they will be prompted to log in to a BlueTally account before they can continue. This means that the only people who can see the information about your equipment will be those who have been given access to your BlueTally account, so your data will remain secure!

Can I use my own barcodes or QR codes instead of the ones generated by BlueTally?

Unfortunately, no, our system is not currently compatible with any external barcodes or QR codes. Only the QR codes generated with BlueTally are compatible with our platform.
